Over the years, we’ve been able to create a proven approach to any given gathering that helps both our team and our clients be able to effectively communicate, adjust as needed, and create a dynamic event. No two events are the same, so we tailor the approach and workplan to your specific needs without losing the core basics of effective event planning. Beginning and ending with listening to you is paramount, and coupled with our eye for detail, purposeful organizational skills and creative flair make each step of the way an enjoyable and successful process.

Understand

Sitting down with you and gaining a clear understanding of what you want out of the event comes first. From a conceptual view, we want to know what you hope for, what you want to avoid, and your general wishes.

Define

We clearly define hard expectations and end of the day signs of success. Beginning with an outline of what you want, if you could have anything in the world for this event, we can begin to narrow down the:

  • When (potential or firm dates)
  • Where (potential or firm locations)
  • What (type of event, general tone that ties into your objective)
  • Who (number of people, the stakeholders, the audience)

We also cover the budget, the potential pitfalls of the plan and again, keep tying this into your original goals.

Develop

The big “how” begins. Research is done and a facility comparison spreadsheet is generated that outlines competing facilities, facility rental, food and beverage minimums, A/V, parking, built in ambiance, and feasibility for desired theme and capacity/space limitations. Other matters we’ll attend to include:

  • Develop a working budget
  • Enter into contract negotiations with the facility, catering company, production company etc.
  • Menu design
  • Decor options & associated costs
  • Entertainment booking
  • Photography coordination
  • Invitation coordination
  • Transportation & security coordination

Communicate

Regularly scheduled meetings both at the site and via conference call will be set up for updates, concerns, budget reviews, etc. Final event logistical meeting(s) with the facility that includes:

  • Facility General Manager
  • Chef
  • Catering Manager
  • Audio-Visual Team
  • Floor Supervisor
  • GB Team

Execute

Count on the GB Team to be onsite to oversee all the final details, as well as execute the set-up, meet and greet, manage the floor, the serving team, tear down and pack up materials.

Finalize

The event may be over, the guests may have left - but there’s still work to be done. GB will tie up the loose ends including such tasks as:

  • Prepare the final budget reconciliation
  • Send out comment cards to attendees
  • Consolidate and document feedback

Evaluate

In addition to reconciling the event’s bills, presenting you with comment & feedback information from your attendees and finalizing any closing details, we will review with you the event’s success.

Going back to our original meeting, we want to make sure that your initial goals and objectives were met. In the case where you might have your event become a recurring gathering, let’s make sure that we walk away from this adventure knowing what exactly did and did not work, and use this as a springboard to begin discussing your next event.
